One tool. One use case. One thing you can implement this week.
Stop Writing the Same Emails Over and Over
Here's a number that might surprise you.
If you send just five customer emails a day, inquiry replies, quote follow-ups, thank-yous, invoice reminders, and each takes four minutes to write from scratch (probably takes longer), that's over two hours a week spent on words that barely change.
Two hours. Every week. Writing the same emails you wrote last week.
This issue is about fixing that. Today. In 15 minutes.
💡 The Big Idea
You don’t need to create emails from zero every time.
Most small business owners have never built an email template library, not because they don't want one, but because building one always felt like a project that could wait.
So instead, you write from memory. Every time. You open a blank email, recall what you said last time, and type something close enough. Sometimes it's great. Sometimes it's rushed. Sometimes, especially the referral request or the overdue invoice nudge, it just doesn't get sent at all.
Here's the shift: you don't need to build a template library from scratch. You need one ChatGPT prompt and 15 minutes. ChatGPT writes the templates. You review them, make them sound like you, and save them to a Google Doc. Done.
That document becomes your permanent email system, and anyone on your team can use it.

What you need: your phone, 15 minutes.
Step 1: Go to chat.openai.com (free account works fine) or open the ChatGPT app
Step 2: Copy and paste this prompt:
I run a [TYPE OF BUSINESS] called [BUSINESS NAME].
Based on how businesses like mine typically operate, identify the 5 most common customer email situations we handle (for example: new inquiry reply, estimate follow-up, appointment confirmation, service completion thank-you, payment reminder, referral request, etc.).
For each situation, write one reusable email template that:
• sounds warm, professional, and human
• is clear and easy to skim
• builds trust and reflects strong customer service
• stays under 120 words
• avoids hype or pushy sales language
• feels natural for small business communication
Use my business name naturally in the email sign-off.
Leave bracketed placeholders where I should customize details, such as:
[Customer Name]
[Service Address]
[Date/Time]
[Price/Estimate]
[Next Step]
[Phone Number]
Format the output exactly like this:
________________________________________
Email Type:
Subject Line:
Template:Step 3. Read through the five templates ChatGPT returns. Adjust any phrasing that doesn't sound like you.
Step 4. Open a Google Doc. Paste all five templates in. Title it something like "Customer Email Templates_[Your Business Name]." Add a header for each one so they're easy to find.
Step 5. Bookmark it. Share it with your team. Use it every time.
That's it. Next time you need to follow up on a quote, you open the doc, copy the template, fill in the name and one or two details, and send it in under a minute.
